Hello Mini Makers!

My name is Emily Clark, and I am the founder of Mini Makers Art Club. Mini Makers provides creative art workshops for children, including home-educated children and those with SEND. My aim is to create a space where creativity is accessible, every child feels welcome, and everyone can work at their own pace.

I hold an Autism Awareness Certification and Safeguarding Certification, I am fully DBS checked, and I have over 7 years of experience working with children. I am also currently completing a SEND Diploma to further develop my knowledge in this area.

Because I value the trust you place in me when sharing your family’s details, this policy explains how I collect, use and protect your information.

1. How I Collect Your Information

I may collect information when:

  • You fill out a form on my website to join a waiting list or enquire about sessions
  • You email or contact me directly
  • You register and book sessions through my booking platform

Bookings for Mini Makers sessions are managed through a secure booking system called ClassForKids.

When registering for sessions, parents or carers may be asked to provide information including:

  • Parent or carer name and contact details
  • Child’s name and age
  • Emergency contact details
  • Medical information or allergies
  • Additional support needs or SEND information that may help support your child during sessions

This information allows me to safely run sessions and ensure every child is supported appropriately.

2. Why I Need Your Data

I collect this information in order to:

  • Manage workshop bookings
  • Communicate with parents or carers about sessions
  • Ensure the safety and wellbeing of children attending workshops
  • Provide appropriate support where children have additional needs
  • Share updates about upcoming sessions or activities
  • Respond to enquiries

Payment details are handled securely through the booking system and payment providers. Mini Makers does not store full payment card details.

3. How I Protect Your Data

I take your privacy seriously and take steps to protect your information.

Your data is stored securely using trusted systems including my website platform and booking software. Access to personal information is limited and only used where necessary to run Mini Makers sessions safely and effectively.

I will never sell your personal information to third parties.

4. Who I Share Data With

Your data is only shared with services that help Mini Makers operate safely and effectively. This may include:

  • Website hosting platforms
  • ClassForKids booking system
  • Secure payment providers

These services are required to follow strict data protection laws.

In rare circumstances, information may need to be shared with relevant safeguarding authorities if there are concerns about the safety or wellbeing of a child.

5. How Long I Keep Your Data

I only keep personal information for as long as necessary to manage bookings, communicate with families, and meet safeguarding or legal responsibilities.

When information is no longer required, it will be securely deleted.

6. Your Choices and Rights

You remain in control of your personal information at all times.

You have the right to:

  • Request a copy of the information I hold about you
  • Ask for corrections if any information is incorrect
  • Request that your data is deleted where appropriate
  • Unsubscribe from emails at any time

To do this, simply contact me using the details below.

Photography & Social Media Consent Policy

At Mini Makers, I sometimes like to take photos of artwork created during sessions or general workshop activities. These images help share the creativity happening in the sessions and help promote Mini Makers to other families.

Photos may occasionally be used on:

  • The Mini Makers website
  • Social media pages (such as Instagram, TikTok or Facebook)
  • Posters or promotional materials for workshops

I always aim to photograph artwork or hands creating, rather than focusing directly on children’s faces. However, in some cases photos of children taking part in activities may be used.

Parental consent will always be requested when booking sessions through the ClassForKids booking system, where parents can choose whether they are happy for their child to appear in photos used for promotional purposes.

Parents and carers can change their consent at any time by contacting me directly.

If consent is not given, I will ensure that the child is not included in any photographs used for marketing or social media.

All images are stored securely and used respectfully to celebrate the creativity of the children taking part in Mini Makers sessions.
